AssignByWeb Instructions
The AssignByWeb system is in use for officiating assignments in the Lakeland Conference and for four schools in the Red Arrow Conference in the following sports: football, girls and boys basketball, volleyball, wrestling, baseball and softball. While not directly associated with the Fruitbelt Officials Association, some of our members are involved in the assigning process, and almost all of our members officiate regularly in these conferences. Below is some important information concerning the AssignByWeb system.
Assignors
Registration and Log-In
Area officials who would like to be considered for assignment to games in the conferences listed above first need to get registered in each sport specific section of the AssignByWeb system. To do so, follow the instructions below:
-
Open a web browser (preferably Internet Explorer) and go to www.assignbyweb.com/aa.
-
Click on the link for the sport you would like to register for.
-
Each section is a little different, but click the link to enter the site.
-
Click the link for User Registration.
-
Enter "1" for the number of registrations you would like to add and click the "Input" button.
-
Fill in your personal information as appropriate.
-
Click the "Add New Registration" button.
Once you're approved by the assignor for that sport, you will be sent an email with your username and password. You can then log in to the site when you get to the "Username" and "Password" sections.
Availability Calendar
One of the most important parts of the AssignByWeb system is the availability calendar. Keeping your calendar updated in each sport you work is imperative to the success of the system. The assignors assume that if a date is open, you are available to work! The assignors have each undertaken their roles to help keep officials in our area working area games. Although they are compensated for their efforts, it is only a part-time position. Officials who turn back games simply because they did not keep their availability updated place a tremendous burden on the assignors and schools, who depend on the system to get their contracts out in a timely manner. Below are the steps to update your calendar once you're in the system:
-
Click the link for "Availability Calendar."
-
If the correct month is not displayed in the large calendar, click on the link for the appropriate month in the small calendar section on the right side of the screen.
-
Click by the number of any date you are not available for any reason. The date will turn red.
- IMPORTANT: You must click the "Update Calendar" button at the bottom of the page before going on to the next month.
-
Use the small calendar links to navigate to the next month.
-
Repeat for each month in the season.
Notes: You can put a note for yourself or the assignor in the top text month for any day. If you would like to keep a date open but are restricted as to time, use the two drop-down boxes below the "notes" box on a particular day to indicate you are only available before or after a certain time. The first drop-down has before and after, and the second one lists times in half hour increments. The assignors will see this information when trying to assign you to a game and will use it appropriately. Keep your availability updated throughout the season, not just prior to the initial game assignments.
Working with Assignments
You will be notified via email if you have new or changed assignments in the system. It is important that you react to these messages in a timely manner. Be aware that occasionally you will get such an email and nothing will appear different to you. It may be that your partner has changed or the time is different. In these instances, just check that you still have a green dot next to your name and that you take note of your current partners, the date and time of the game. It is not necessary to alert the assignor via email that you got sent an unnecessary notice. Instructions for using this part of the system are as follows:
-
Click on the link for "Master Schedule."
-
Click on the link for "Your Assignments."
-
To quickly accept all assignments, click in the box "I Accept All My Assignments" and then click the "Accept Assignments" button.
-
To individually accept or reject assignments, click the "Detail ID" button at the far left for the assignment in question.
-
Scroll down to where your information is listed, and choose either "Accept" or "Turn Back".
-
Scroll to the bottom and click the "Update Game Information" button.
-
Repeat as necessary.
Site Tools
In addition to keeping the above information updated, there are several tools you can use to your benefit on the site. They are too numerous to explain in detail here, but if you poke around a little they are fairly self-explanatory. Below is a list of some of the features available:
